Your Home Care Ltd is a domiciliary care provider registered in England. We provide home care services across Nottinghamshire and Derbyshire. Our registered office is at The Sidings, Mansfield Woodhouse, Nottinghamshire, NG19 7FE.

What personal data we collect
Through our website forms
When you submit an enquiry or job application through our website, we collect:

- Email address

Analytics data

Why we collect your data
We collect personal data for the following reasons:
- Responding to enquiries - when you contact us about care services, we need your details to get back to you. The legal basis for this is legitimate interest.
- Processing job applications - when you apply for a role, we use your information to assess your application and contact you about it. The legal basis is legitimate interest (and, if you are offered a role, the performance of a contract).
- Improving our website - analytics data helps us understand what works and what does not, so we can make the site more useful. The legal basis is legitimate interest.
- Marketing - Meta Pixel tracking is used to measure and improve our advertising. The legal basis is consent, which you can withdraw at any time by adjusting your cookie settings.
How we use your data

Who we share your data with

- The Care Quality Commission (CQC), as our regulator
- Local authorities, where required for safeguarding purposes
Our website uses Google Analytics and the Meta Pixel, which means some anonymised or pseudonymised data is processed by Google and Meta respectively. These companies act as data processors and are bound by their own privacy policies.
How long we keep your data
We retain personal data in line with our Data Security and Data Retention Policy (GDPR03), which follows the NHS Records Management Code of Practice and UK GDPR requirements.
- Client care records: a minimum of 6 years from the end of the provision of care, in line with NHS retention guidelines and to cover potential claims.
- Care enquiries: 12 months from the date of your enquiry if you do not become a client, then securely deleted.
- Contracts and agreements: retained for the duration of the contract plus 6 years.
- Job applications (unsuccessful): 6 months after the recruitment process is complete, then securely deleted.
- Employee records: retained for up to 6 years after the end of employment, in line with statutory requirements.
- Analytics data: retained by Google for up to 14 months, in line with their default retention settings.
All decisions about data retention are documented. At the end of the relevant retention period, personal data is securely destroyed or deleted, including any backups.
Your rights under UK GDPR
You have the right to:
- Access the personal data we hold about you
- Rectification - ask us to correct inaccurate data
- Erasure - ask us to delete your data (where there is no legal reason for us to keep it)
- Data portability - request a copy of your data in a portable format
- Object to processing based on legitimate interest
- Withdraw consent for marketing cookies at any time
